Now I'm Building Its System. ====================================================== I joined the federation as an athlete, left with a black belt and a stack of affiliation paperwork. Now I'm writing the API that clears it — for the federation that shaped me. I joined the Romanian Freestyle Kickboxing Federation as an athlete. I competed on the tatami, took my exams, absorbed my share of corrections, climbed step by step to a 2nd Dan black belt. Then I crossed over to the other side — coach, and since 2021 founder and president of CS Victoria Maramureș — and discovered the part nobody warns you about at your belt exam: the paperwork. Affiliation files. Athlete registrations. Fees you dig for through documents. Proforma invoices requested over email. Diplomas filled in one by one, in the evening, after training. I've lived through all of it from the club's side, year after year. Now I'm writing the code that solves it. These days I'm working on the API that connects SportClubPro — my management platform for sports clubs — to frfk.ro. Alongside Mr. Adrian Dejanu, the federation's president. This isn't a contract that came in off LinkedIn: it's the federation I grew up in, first as an athlete, then above all as a coach. The rare case where the programmer has been, in turn, every type of user of the system he's building. The best spec isn't written. It's lived. ---------------------------------------- SportClubPro wasn't born from market research. It was born from CS Victoria: from keeping track of my own athletes, from the membership fees I kept chasing, from the admin hours that came straight out of my gym hours. First I solved my own problem. Only later did I find out it was every club's problem. The federation integration is the same principle, one step up. I know what an affiliation looks like from the club's side, because I've filed one. I know what an athlete registration means, because I've done them with my own hands. Nobody had to explain the project requirements to me — I already had them. Not in documentation. In experience. That's still my conviction about products: the best ones don't come out of brainstorming. They come out of lived pain. The rest is execution. A man who's given heart and soul deserves tools to match -------------------------------------------------------- At the other end of the project is Mr. Adrian Dejanu — a president who has given heart and soul to this federation. I'm not saying that out of politeness; I'm saying it as someone who has seen up close how much invisible work keeps a sports organization alive in Romania. Federations stand on the dedication of a handful of people. And today that dedication gets burned on things a system can do in a second: payment confirmations, documents generated by hand, the same data typed three times into three places. For me, this is the real test of the phrase "technology must serve people." I've been saying it for years about AI, but it doesn't apply only to spectacular products. It applies to a federation president whose time should go into sport, not into PDFs. What we're actually building ---------------------------- No changelog — in plain English: **Affiliation.** The club enters its data once, online. The payment gets confirmed, and the operating authorization is generated in one click. What used to be a folder plus a chain of emails becomes a flow. **Athlete registration.** The athlete's data goes from SportClubPro straight into frfk.ro. One single source of truth — not three versions of the same athlete in three tables. **Proforma invoices.** For affiliations, registrations, record books — generated automatically, with the federation's official fees. The question "how much is it and where do I send it?" disappears for good. **Exams.** The club selects its athletes — they're already in the system — the proforma comes out on its own, and once the payment is confirmed, one button generates all the diplomas. All of them. At once. The big module comes next: organizing and managing competitions. I'll write about that one when we get there — one article per chapter. My favorite button isn't AI --------------------------- Let me be honest: nothing I've described is technologically spectacular. I've been building AI systems for years — ClipYo generates video clips, AIpoftă generates recipes — so I know what the spectacular part looks like. This isn't it. This is forms, proformas, PDFs and one honest button. And yet that diploma button might be the most valuable code I write all year. Because the hours it frees up don't disappear — they come back. To the coach, on the tatami. To the president, in the real work of the federation. To the athletes, who get their recognition without waiting on paperwork. Hype sells demos. Hours given back to people keep systems alive. Automate the paperwork. Never the journey. ------------------------------------------ I have a rule I wrote down in [my article about albums and AI](https://ioanclickmihalca.ro/en/articles/ai-albums-people): before you automate anything, ask yourself what you lose if the process disappears and only the result remains. Here the answer is clean. If manually filling in a diploma disappears, nobody loses anything — not the athlete, not the coach, not the federation. Category one: automate it without mercy. What doesn't get touched is the journey to that diploma. The exam stays an exam. The nerves of that day stay. The years to a black belt stay years — I've counted mine. The system we're building takes the paper out from between the athlete and their recognition. That's all. The rest stays exactly as hard as it's supposed to be. This federation shaped me twice: once on the tatami, once at its edge, as a coach. It gave me the exams, the standard, the belt. This system is what I can give back. The diploma will be generated in one click. The belt still takes years in the gym. And that's exactly how both should stay.
